Advance Booking & Payment Policy
Fair Rate Travel Agency
Version 1.0 · Effective Date: October 8, 2026
This policy explains how advance bookings and payments work at Fair Rate Travel Agency: how quotations are requested, when deposits and payments are due, and when a booking becomes confirmed.
1. Requesting a Quotation Before Paying
Customers may request a quotation and receive a price before making any payment. Requesting a quotation does not commit a customer to booking and does not require a deposit.
2. Prices and Availability Before Confirmation
Quoted prices and availability can change until the relevant travel supplier confirms the reservation.
Travel prices depend on live supplier availability, and a quotation reflects the position at the time it was prepared.
3. Deposits
Where a deposit is required for a particular booking, the amount and what it covers are disclosed to the customer for that specific quotation before payment.
Deposit arrangements vary by supplier and by booking. We do not apply one universal deposit percentage to every booking.
Paying a deposit does not, by itself, guarantee availability, price or booking confirmation.
4. Payment Deadlines
Where a payment must be made by a particular date, that deadline is communicated to the customer for the specific quotation or supplier arrangement.
Payment deadlines are set by the supplier's own conditions and by the arrangements for that booking, so they differ from one booking to another.
5. Full Payment
Full payment may be required depending on the booking, the supplier's conditions and how close the travel date is.
Where a payment plan or installment arrangement is available, the applicable amounts and dates are shown on the customer's quotation.
6. When a Booking Becomes Confirmed
A reservation is considered confirmed only once the relevant supplier has confirmed it and Fair Rate Travel Agency has confirmed it to the customer.
A quotation is not a confirmed booking.
7. Cancellation and Refund Conditions
The applicable cancellation, amendment and refund conditions must be disclosed to the customer before booking authorization, and the customer must acknowledge them.
Where the cancellation conditions for a selected hotel rate have not been confirmed, the quotation says so and directs the customer to the supplier's own terms rather than stating conditions that have not been confirmed.
8. Paying Fair Rate Travel Agency
Our quotations show the amount payable to Fair Rate Travel Agency and the currency. The flight portion of a trip is paid directly to the airline or ticket seller where the booking model requires that arrangement.
If you have any question about what a payment covers, or about a deadline, contact us at bookings@fairratetravelagency.com before paying.
