Delivery & Fulfillment Policy

Fair Rate Travel Agency

Version 1.0 · Effective Date: October 8, 2026

This policy explains how Fair Rate Travel Agency delivers its travel services and booking documentation, and what happens if a supplier cannot confirm a requested arrangement.

1. How Our Services Are Delivered

Fair Rate Travel Agency provides travel services and booking documentation electronically. We do not sell or ship physical goods, and there is no physical product to be delivered or returned.

Our services, quotations, booking confirmations and travel documents are delivered by email and, where available, through the account features in our website and mobile application.

2. Receiving a Quotation

When a customer requests a quotation — through the Trip Calculator, through a curated trip or by contacting us — we prepare and send a quotation showing the arrangements and the amounts payable.

The quotation is delivered to the email address the customer provides, and is also available to a signed-in customer in their account.

3. How a Booking Request Is Processed

A quotation is a request. Once a customer confirms they wish to proceed and the applicable payment arrangements are made, we process the booking with the relevant travel supplier.

Travel arrangements are not confirmed until the relevant supplier has confirmed the reservation and we have confirmed it to the customer.

4. Supplier Confirmation

Hotels, airlines, airport transfer providers and other suppliers must confirm availability before a reservation is treated as confirmed. Supplier confirmation is required before a booking is considered confirmed.

Payment alone does not guarantee availability, price or a confirmed reservation.

5. Booking Confirmations, Vouchers and Itineraries

Once a booking is confirmed by the supplier, we send the customer the relevant documentation. Depending on the arrangements, this may include a booking confirmation, a hotel voucher, an airport transfer voucher and a travel itinerary.

These documents are sent to the customer by email and, where available, are also made available to a signed-in customer in their account, where they can be viewed and downloaded.

Airline tickets are purchased directly from the airline or ticket seller where the booking model requires that arrangement, and the airline or seller issues that ticket.

6. If Your Documents Have Not Arrived

If you are expecting a quotation, a booking confirmation or travel documents and have not received them, please contact us so we can check the position and resend anything that is outstanding.

Please also check the junk or spam folder of the email address you gave us before contacting us, as electronic documents can occasionally be filtered.

You can reach us at bookings@fairratetravelagency.com, or by telephone or WhatsApp using the contact details published on our website.

7. If a Supplier Cannot Confirm a Service

If a supplier cannot confirm a requested service, we will tell the customer and help identify the available alternatives.

Depending on the circumstances, the available outcomes may include an alternative property, room, rate, date or service, or the release of the arrangement. Any replacement arrangement is offered to the customer for their authorization before it is booked.

Any refund that becomes due is handled under the applicable supplier's terms, our separately disclosed terms and applicable law, as set out in our Cancellation & Refund Policy. We do not guarantee a refund beyond those terms.
